REMARKS:Event Management and Registration - (for workshops, classes, training sessions, staff development, seminars) event planners can record information about their events as they plan workshops, seminars, staff team building activities. Once the event has a time and place, planners can return to this application to store invitational flyers, notes about running the event, check up on who has registered, and record their attendance. Any changes to the Event can be e-mailed to current registrants. Registrants can register until the deadline chosen by the planner. When the event fills its seat count, the registrant can be placed on a waiting list and be automatically registered and confirmed if a seat opens.

NEW features: EMR is now integrated with PDP Premier. Import EMR courses into PDP Premier catalogs for employee "one-stop shopping". Final approval of these simple events sends automatic registration to EMR. Completion of the course and entry of attendance in EMR sends attendance checkmark back to PDP Premier for verification purposes.

The application allows for simple one-time events, copying of the event for multiple sessions, or complex multi-session events.

Building costs include 5 Planner User IDs per building. Additional licenses may be purchased as needed.

Please note this application is only available within a portal framework. If a district/BOCES wishes to offer their events to a set of staff within their educational institutions without purchasing a portal (650.832.00), they can deliver Event Management & Registration within eBOCES.
PREREQUISITES:Access to a browser, PC or MAC
COSTS:Cost is $1,000 per building with a minimum of 2 buildings and a maximum of 10 buildings.
OPTIONS:Possible additional charges:
- Enhancements or functionality changes
- Additional requested training after initial training
- Travel expenses if applicable
INTEGRATION:This application is integrated with the eCalendar application, 650.830.37 and with PDP Premier
TRAINING:A core group at the project owner site will be trained as part of the project. User training is the responsibility of the project owner.
DELIVERABLES:
· Two Web pages within a Web portal with the application installed and operational for one defined set of Event Planners.
· One Web page with one portlet is for event planning.
· The other Web page lists all events and is for registrants to register.
· Verification that all notification e-mails sent from the registration system is deliverable to the district’s recipients.
WNYRIC RESPONSIBILITIES:
· Define a WNYRIC project point person for the district.
· Prepare a project implementation plan stating what is in scope and out of scope.
· Provide a user guide document, stating the intended uses and workflows of the application.
· Provide a procedure and template for importing district-provided employee information to populate the Identity Management system.
· Implement the application and security groups to allow the district to use the application.
· Offer EMR training for the district employees on a per diem basis (project coordinator, administrators, and if desired, teachers)
· Help Desk assistance (1-800-872-0780) with login and access problems, and error reporting
· Hosting of the application on the enterprise server assuring daily backups, server maintenance, and disaster recovery
· Consideration, analysis and quotes on requested enhancements and functionality changes.
DISTRICT RESPONSIBILITIES:
· Define a district project coordinator for this application.
· Sign off on project brief and price quote.
· Maintain and export necessary employee information from district/BOCES financial system; periodically run procedure to refresh this data
· Participate in approximately three planning and status meetings as the implementation progresses.
· Project coordinator and administrators must participate in at least one WNYRIC training session. Other employees may be trained by the district.
· Provide internet access at recommended version levels to appropriate staff using the application
· Inform WNYRIC of problems, difficulties, and training needs
