REMARKS:Asset Management and Inventory System: A web-based asset management system to track both RIC-owned and district-owned equipment. Planned for widespread release during the Summer of 2009, the Inventory and Asset Management system will provide core inventory functionality of IT and General asset inventories, including cell phones, with the ability to generate reports and exports, and provide depreciation and asset management based upon the particular asset class.

Additional modules such as project tracking, project configuration, and shipping/receiving will be added over a period of time.
PREREQUISITES:Access to a browser, PC or MAC
COSTS:Cost is $1,000 per building with a minimum of 2 buildings and a maximum of 10 buildings.
OPTIONS:Possible additional charges:
- Enhancements or functionality changes
- Additional requested training after initial training
- Travel expenses if applicable
INTEGRATION:This application will integrate with subsequent modules in the future.
TRAINING:A core group at the project owner site will be trained as part of the project. User training is the responsibility of the project owner.
DELIVERABLES:
· One Web page within a Web portal with the application installed and operational for district-defined set of users
· Latest documentation for core users
· Identity Management licenses for five core district users included; additional licenses available at cost
WNYRIC RESPONSIBILITIES:
· Define a WNYRIC project point person for the district.
· Prepare a project implementation plan stating what is in scope and out of scope.
· Provide a user guide document, stating the intended uses and workflows of the application.
· Provide a procedure and template for importing district-provided employee information to populate the Identity Management system.
· Implement the application and security groups to allow the district to use the application.
· Offer WNYRIC training for the district project coordinator and other district staff members at a per diem rate.
· Help Desk assistance (1-800-872-0780) with login and access problems, and error reporting
· Hosting of the application on the enterprise server assuring daily backups, server maintenance, and disaster recovery
· Consideration, analysis and quotes on requested enhancements, data import from disparate systems, and functionality changes.
DISTRICT RESPONSIBILITIES:
· Define a district project coordinator for this application.
· Sign off on project brief and price quote.
· Maintain and export necessary employee information from district/BOCES financial system; periodically send to WNYRIC to populate the Identity management system.
· Participate in approximately three planning and status meetings as the implementation progresses.
· Project coordinator and administrators must participate in at least one WNYRIC training session. Other staff may be trained by the district.
· Provide internet access at recommended version levels to appropriate staff using the application
· Build necessary tables; enter asset locations; complete data entry for required fields not imported to the Inventory system
· Inform WNYRIC of problems, difficulties, and training needs
